Setting Up a Shared Resource

  • Resource numbers can be found by searching the email address or display name in the Global Address Book on Outlook (top right of the dashboard).
    • Make sure you are searching the Global Address List and not the Offline version.
  • If you cannot access your shared resource properly, check that you indeed have the proper access to the resource. You can confirm this or change access by calling the Help Center at 860-486-4357.
  • Shared resources are no longer recommended to be logging in through the email address directly with a separate password – the mailbox should be added to your current UConn account.

  1. Go to office365.uconn.edu and click Login to the Office 365 Portal.
  2. Log in with your credentials:
    • For Faculty/Staff: first.lastname@uconn.edu and NetID password.
    • For Student Workers: student####@ad.uconn.edu and unique password.
  3. Click the Mail icon, or Calendar icon, respectively.
  4.  Click the Person icon on the top right of the screen, and select Open Another Mailbox…

5.They should look up the email address, Display name, or resource number to open up the account.

Outlook for Windows

Opening a Mailbox:

  1. Log in with your credentials:
    • For Faculty/Staff: first.lastname@uconn.edu and NetID password.
    • For Student Workers: student####@ad.uconn.edu and unique password.
  2. Click File on the top left, then Account Settings -> Account Settings.
  3. Under the Email tab, select your email address and then click New…
  4. In the Auto Account Setup box, enter your name, the shared mailbox email address, and your NetID password. Click Next.
  5. You will be prompted for a User ID and password. Change the email address (User ID) to your UConn email address (first.lastname@uconn.edu) and your NetID password. Check the box to ‘remember credentials’. Click Finish.

Note: When configured this way, items sent from the shared resource should automatically go to the sent folder of the shared mailbox.

Opening a Calendar:

  1. Log in with your credentials:
    • For Faculty/Staff: first.lastname@uconn.edu and NetID password.
    • For Student Workers: student####@ad.uconn.edu and unique password.
  2. Go to the Calendar tab on the bottom of the application.
  3. Hit the Open Calendar option, then Open Shared Calendar.

4. You should be able to enter the calendar name or search for the resource.

Outlook for Mac

  1. Log in with your credentials:
    • For Faculty/Staff: first.lastname@uconn.edu and NetID password.
    • For Student Workers: student####@ad.uconn.edu and unique password.
  2. Go to File, then Open, then select Other User’s Folder…

3. You should be able to enter an email address, display name, or resource number.
4. Select Folder Type for either Inbox or Calendar, respectively.

 

Apple Mail for Mac

Opening a Mailbox:

Please Note: This feature is only available for the default Apple Mail application, NOT the Microsoft Outlook mobile application.

  1. Go to the Settings app and select Mail.
  2. Click Accounts then Add Account.
  3. For the type of account, select Other on the bottom of the list. Then select Add Mail Account.
  4. Enter in the name of the shared mailbox, the email address of the shared mailbox, your email password, and then hit Next.

5. Select POP at the top of the new screen:

  • Enter the incoming mail server host name as outlook.office365.com.
  • In the Username field, enter in your email address and your password.
  • Enter the Outgoing Mail Server Host Name as smtp.office365.com.

Opening a Calendar:

This feature is not currently supported by Micorsoft, UITS, or Apple Mail and unfortunately cannot be added. You may view the calendars by accessing office365.uconn.edu through your mobile browser, or logging into UConn AnyWare to have a desktop version of Outlook on your mobile device (best with tablet).
